As much as we want to be helpful colleagues, we will need to decline work requests from others from time to time.
This is to ensure we are able to remain effective and productive with our existing workplace priorities at hand, and still maintain a positive working relationship with others.
How can we decline work requests politely?
Here are 3 steps you can apply in doing so:
Thank and appreciate
Acknowledge the person requesting assistance from you with gratitude, showing you value the person reaching out to you.
Reason for declining
Be courteous and respectful by sharing your reason for declining the request. Remain firm and avoid over-explaining.
Offer alternative
This shows your sincerity in still trying to be helpful, despite not being able to fully help or only able to partially help this round.
Example in practice when declining work requests politely
E.g. Declining a work request due to being at capacity
"Thank you for thinking of me and reaching out. Appreciate your trust in me with your request." (Thank and appreciate)
"Unfortunately, regret to inform that I will be unable to assist you with this request as I am already at capacity with my other tasks that needs to be completed within this concurrent timeline." (Reason for declining)
"Have you tried checking with others from the team? If need be, I can assist in connecting you with someone who may be able to help with your request." (Offer alternative)
Concluding remarks
While it is admirable to want to be helpful, it is also important to remember you can't help everyone and with everything. Decline others' work requests politely when need be.
Be prudent and responsible with your own workplace responsibilities first, and only help with others' work requests when you are able to, without compromising on your own work.
